A job application email should make it easy for the recipient to identify the role, understand your fit and open the correct documents. You do not need a long message. You need an accurate subject, a useful introduction and attachments that match the notice.

For Sri Lankan applicants sending several applications, the main risk is often a small mismatch: the wrong employer name, an old CV or a missing reference number.

Read the email instructions first

Some employers specify a subject line, file format or set of attachments. Copy those requirements into a checklist before drafting.

Prepare attachments carefully

Use recognisable filenames and the format requested. Open each file from the final attachment location, not only from the document editor.

If you use a portfolio link, test it in a signed-out browser. A link to a private file that only you can open will not help the recruiter.

Send only the documents the process requires at that stage. Avoid attaching a large archive of unrelated certificates, identity documents and screenshots without a clear reason.

Run a final send check

Read the recipient, subject and first sentence together. They should all refer to the same role. Check the contact number and make sure your email account has space to receive replies.

Send applications individually so another employer cannot see a list of recipients. Save the message and attachment version in your application tracker.

If you notice an important error afterwards, send one concise correction with the correct file and a clear explanation. Repeated replacement emails can make the record harder to follow.

Should you write “urgent” in the subject?

Only when there is a genuine, relevant reason. It is not a substitute for meeting the application deadline.

Is a blank email with a CV enough?
