AI Meeting Notes: A Reliable Workflow for Sri Lankan Teams

AI meeting notes are useful when they produce an accurate record of decisions and actions. A fluent summary that assigns the wrong owner or invents a deadline can create more confusion than rough handwritten notes.
For Sri Lankan teams, start with an agreed recording and data-handling process, then keep a human review before distributing the record.
Agree on the source and permissions
Decide whether you are summarising written notes, a transcript or a recording. Follow your organisation's policy and obtain the appropriate participant agreement before recording or uploading meeting material.
If using Google Meet, its transcript guidance explains transcript availability and storage. Product features and access depend on the account and meeting settings.
Do not assume that a recording is suitable for every AI service simply because you can download it.
Ask for distinct output sections
| Section | What belongs there |
|---|---|
| Decisions | Choices explicitly agreed in the meeting |
| Actions | Tasks with confirmed owners |
| Deadlines | Dates actually stated |
| Open questions | Items still unresolved |
| Context | Brief explanation needed to understand the record |
A discussion point is not automatically a decision. A person mentioning an idea is not automatically volunteering to own it.
Make those distinctions part of the prompt.
Use an original summarisation prompt
Summarise these notes into decisions, actions and open questions. For each action, include the owner and deadline only if explicitly stated. Mark missing information as unconfirmed. Do not infer approval from a discussion or add commitments.
For a fictional product meeting, the notes may say that the team discussed weekend bookings but did not settle the rule. The summary should keep that as an open question.
If an action has no owner, the record should prompt clarification rather than assign the most frequently mentioned person.
Check names, dates and meaning
Compare every decision and action with the source. Pay particular attention to negatives such as “do not launch” or “not approved,” which can change the meaning completely if omitted.
Resolve relative dates such as “next Friday” using the meeting date and the speaker's intended context. If that remains ambiguous, ask rather than guessing.
Check multilingual names and technical terms. Transcripts can mishear both, especially when several people speak at once.
Share a reviewed record
Have the meeting owner or appropriate reviewer confirm the important points. Send the record through the agreed channel and give participants a clear way to correct factual errors.
Keep access limited to the people who need it. A meeting summary can still contain sensitive information even after the transcript is removed.
Update the action tracker from the approved record. Do not let an unreviewed AI draft automatically create tasks or send commitments to external parties.
Can you summarise without a recording?
Yes. Well-structured notes can be sufficient and may reduce unnecessary data collection.
Should every spoken detail appear in the summary?
No. Include the information needed to understand decisions and complete actions. Avoid retaining unrelated personal discussion.
What if the transcript is unclear?
Mark the point as uncertain and ask the relevant participant. A confident guess is not a correction.
Can AI assign action owners?
It can extract an explicitly agreed owner. It should not decide who is responsible when the meeting did not establish that.
What makes the workflow reliable?
Clear source material, explicit output rules and a human check of decisions, owners and deadlines before sharing.
